Quick overview

These Transfer Terms and Conditions apply to private, shared, one-way and round-trip transfer services booked through Book Ephesus Tours (Kulturel Turizm LTD. STI.). By confirming a transfer booking, the customer accepts these terms together with the general Terms of Use, Privacy Policy and any service details shown during the booking process.

1. Booking confirmation

A transfer booking is confirmed only after Book Ephesus Tours has received the required booking details, accepted the service request and issued a written confirmation. The customer is responsible for providing accurate pickup location, drop-off location, date, time, passenger count, luggage details, flight/cruise/bus/train information where applicable, hotel name, contact number and any special notes required for the service.

2. Pickup time and passenger responsibility

The customer must be ready at the confirmed pickup point at the confirmed pickup time. For airport, cruise port, bus terminal and train station pickups, the customer must provide correct arrival details so the driver or operations team can monitor the service where possible. Book Ephesus Tours is not responsible for delays, missed services or additional costs caused by incorrect information, late arrival, inaccessible meeting points, missing contact details or failure to follow the meeting instructions.

3. Complimentary waiting time

Unless a different waiting time is stated on the booking confirmation, the following complimentary waiting times apply from the confirmed pickup time or monitored arrival time where applicable: airport pickups up to 60 minutes; cruise port, train station and bus station pickups up to 30 minutes; hotel, address, city centre and other local pickups up to 20 minutes.

If the passenger is delayed beyond the complimentary waiting time, additional waiting charges may apply or the service may be treated as a no-show. If the customer expects a delay, they must contact Book Ephesus Tours or the provided operations contact as soon as possible. Extra waiting time is subject to driver and vehicle availability.

4. Flight, cruise, train and bus delays

Where flight, cruise, train or bus details are provided correctly, Book Ephesus Tours will make reasonable efforts to monitor the arrival and adjust the pickup arrangement where operationally possible. If the arrival is delayed, diverted, cancelled, rescheduled or changed by the carrier, the customer must inform Book Ephesus Tours as soon as possible. Rescheduling is subject to availability and may require additional cost if the original vehicle or driver cannot wait or be reassigned.

5. Luggage and vehicle capacity

The selected vehicle must be suitable for the passenger count and luggage amount declared by the customer. If the customer arrives with more passengers or luggage than declared, Book Ephesus Tours may provide a larger vehicle subject to availability and additional cost, or the service may not be possible. Oversized luggage, sports equipment, wheelchairs, strollers, child seats or special items must be declared before confirmation.

6. Route, stops and changes

The transfer price applies to the confirmed route and service type. Extra stops, route changes, waiting requests, detours, additional pickup/drop-off points or changes requested after confirmation are subject to availability and may require additional payment. If a requested change cannot be accepted, the original confirmed service terms will apply.

7. Shared transfers

Shared transfer services may include other passengers, scheduled meeting points, fixed routes, vehicle changes or reasonable waiting periods. Pickup or drop-off times for shared transfers may be adjusted by Book Ephesus Tours according to operational planning. Private service conditions do not apply to shared transfers unless clearly confirmed in writing.

8. Cancellation and refund rules

Unless a stricter rule is shown during booking or in the confirmation, private transfer bookings may be cancelled free of charge up to 24 hours before the confirmed pickup time. Shared transfers, large vehicles, cruise-port operation days, long-distance transfers, special vehicle arrangements, supplier-marked services or custom services may require up to 48 hours notice when stated during booking or on the confirmation.

Cancellations made after the free cancellation period, late arrival and no-show cases may be charged at 100% of the transfer price. Non-refundable supplier costs, parking arrangements, permits, special vehicle arrangements, child seats, accessibility equipment, custom services or other third-party services already purchased on the customer's behalf may be deducted where applicable. Eligible refunds are processed to the original payment method within up to 14 days.

9. No-show

A no-show occurs when the passenger does not appear at the confirmed pickup point within the applicable waiting time, cannot be reached using the contact details provided, refuses the service, provides incorrect pickup details, or is unable to use the service because of missing/incorrect travel information. No-show cases may be charged at 100% of the transfer price.

10. Delays, force majeure and operational changes

Book Ephesus Tours may change the assigned vehicle, driver, meeting arrangement or operational plan where necessary for safety, traffic, weather, vehicle availability, supplier, road closure, port/airport procedure or force majeure reasons. If Book Ephesus Tours cannot provide the confirmed service, the customer will be offered a suitable alternative or a refund of the amount paid for the affected transfer service.

11. Customer conduct and safety

Passengers must follow driver and local safety instructions. Book Ephesus Tours may refuse or terminate service without refund if a passenger acts abusively, behaves unsafely, damages the vehicle, carries prohibited items, or creates a risk for the driver, other passengers, the vehicle or third parties.

12. Liability

Book Ephesus Tours will take reasonable care in arranging and operating transfer services. However, Book Ephesus Tours is not liable for losses caused by incorrect customer information, passenger delay, traffic, weather, public authority decisions, third-party supplier failures, flight/cruise/bus/train schedule changes, force majeure, or circumstances beyond its reasonable control. Mandatory local consumer protection rules will apply where they provide broader rights.

13. Contact and assistance

For urgent transfer assistance, the customer should contact Book Ephesus Tours using the contact details provided in the booking confirmation. Any cancellation, change request, complaint or refund request should be submitted in writing so that it can be reviewed properly.
